Transcripts of Academic Record
During the Canada Post strike, requests for transcripts to be sent by regular mail or by Expresspost, will be processed as usual but transcripts will be held in the Registrar's Office until the strike is over.
The Registrar's Office is pleased to be able to provide learners with an option to receive their official transcript electronically in a secured environment. See the MyCredsTM link on the side menu.
Protection of Privacy legislation demands that we obtain authorization prior to the release of educational information. Therefore transcripts are issued only upon receipt of the request form bearing the student's original signature. All financial holds must be cleared on the student account before the request can be processed. StFX does not provide unofficial transcripts.

It is the responsibility of the learner to ensure their official transcript is ready for release when the request is submitted for processing. Especially that final grades have been entered or the degree has been posted. Degrees are usually posted within 2-3 days after convocation.
Submit the completed form by:
- Email the completed form to the Office of the Registrar.
- Deliver the form in person to Nicholson Tower, 2nd floor or use the secure drop box located in the 2nd floor foyer.

Cost:
The cost is $10 per transcript copy. For an additional $15 per transcript, same day service is available if the request is received by 10:00 AM. Additional charges will apply for courier or Expresspost service.
All transcript fees must be paid at the time of the request. Payment methods include: credit card (Visa, MasterCard or American Express); cash or debit if submitting in person; cheque (payable to St. Francis Xavier University). Credit card information is stored in a secured environment.
Getting your transcript:
Transcript requests are generally processed within three to five business days. During the month of January, please allow seven to ten business days for processing.
Methods of delivery are: electronically through the MyCredsTM; pick up (photo ID required); regular mail; Expresspost (available only within Canada); courier. Transcripts that are sent by Expresspost or courier and then returned due to an invalid address will result in additional charges to the requestor equivalent to the original shipping charge. When a transcript is returned due to an invalid address, the Registrar's office is charged. To resend by Expresspost or courier, the requestor will be charged for the subsequent delivery attempt.
Transcripts sent by regular mail cannot be traced. In the event the initial transcript has not been received, another transcript request with payment must be submitted.
Transcripts requests that cannot be processed due to financial holds or invalid credit card information will be kept on file for one month.
An average at the end of each academic year is included on the transcript if the student has a final grade in at least 18 credits. Averages are not calculated in the spring and summer terms. StFX does not calculate GPA - Grade Point Average. Following the 2019-2020 academic year, an average will be included if the student has a final numeric grade in at least 24 credits. Additionally, deciles are not available following the 2019-2020 academic year.
Requests for The College of Nurses of Ontario
Official Transcripts: Students should email their official transcript request directly to the Registrar's Office at @email. Requests will be processed in 3-5 business days.
VCC forms: Requests for the completion of the Verification of Course Completion forms should be emailed directly to the Distance Nursing Office at @email.
Completion of Master of Education, Certificate in Outdoor Education, Certificate in Elementary Mathematics
Nova Scotia Students: The instructions on the NS Department of Education website indicate that a letter from the StFX University Registrar is required to indicate the completion of the requirements of the M.Ed. or Certificate programs. StFX has an agreement with the NS Department of Education that the StFX Registrar’s office will indicate directly on your official transcript that you have completed the program and a separate letter is not required. When submitting an official transcript request form, indicate by checking the box that you have recently completed the requirements for the Master of Education, Certificate in Outdoor Education or Certificate in Elementary Mathematics programs.
Non-Nova Scotia Students: If your license renewable is with a province outside of Nova Scotia, please indicate in the email, when you submit your request for your official transcript, that you have recently completed the Master of Education requirements and you require a letter of completion along with your official transcript. Please specify the province of your accreditation.
